Privacy Policy
This policy explains what personal data Akil collects, how we use it, who we share it with, and what rights you have. It applies to useakil.com, app.useakil.com, api.useakil.com, the Akil scheduling widget, and any hosted booking pages we serve on your behalf.
1. Who we are
"Akil," "we," "us," and "our" refer to the operators of the Akil platform. For questions about this policy or your data, contact hello@useakil.com.
2. The two kinds of users
We process data for two distinct groups, and the relationship is different for each:
- Customers. Businesses that sign up at
app.useakil.com, connect their calendars, configure routing policies, and embed the Akil widget. Akil acts as a data processor for the lead/meeting data customers route through us. - Leads & visitors. People who fill out a customer's scheduling widget or visit a public booking page. Akil acts as a data processor on behalf of the customer. For visitors to our own marketing site (
useakil.com), Akil acts as a data controller.
3. What we collect
3.1 From customers (account holders)
- Account: email, hashed password, workspace name, role (admin / member / superadmin).
- Team: rep names, emails, and per-rep Google Calendar OAuth tokens.
- Configuration: routing policies, meeting types, calendar availability, branding.
- Billing & usage telemetry (when applicable).
3.2 From leads / meeting bookers
- Identifiers the customer's form requests: typically name, email, company, company size, and an optional company website.
- Booking metadata: chosen slot, assigned rep, meeting type, timezone, calendar event ID, Google Meet link.
- Enrichment results derived from the email or website domain (industry, tier, technologies) via our enrichment sub-processor.
- Outbound communications: pre-meeting outreach drafts and the version that was actually sent.
3.3 Automatically (visitors and authenticated users)
- IP address, browser type, device, referrer, pages viewed.
- Product analytics events (clicks, page views, conversions) via PostHog.
- Cookies strictly necessary for sign-in sessions and CSRF protection.
4. Google API services
When a customer connects Google Calendar, Akil's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We request only the calendar scopes needed to read free/busy and create events on behalf of the connected rep.
- Calendar data is used solely to surface available slots in the widget and to create / update the meeting event.
- We do not transfer Google user data to third parties except as needed to provide the service (e.g. sending the booking confirmation email).
- We do not use Google user data to train AI/ML models.
- We do not allow humans to read Google user data except (a) with explicit consent, (b) for security investigations, (c) to comply with law, or (d) where data is aggregated and anonymized for product analytics.
5. AI processing
Three of our specialist agents (Lead Profiler, Content & Outreach, Meeting Intelligence) use large language models from OpenAI, with a deterministic rule-based fallback. We send the minimum lead context needed to produce the agent's output. Per OpenAI's API terms, data submitted via the OpenAI API is not used to train OpenAI's models, and we do not opt in to any training.
6. How we use data
- To run the booking pipeline: profile the lead, route to the right rep, surface real calendar slots, draft outreach, brief the rep, write back to the CRM.
- To operate, secure, and improve the platform (logs, error tracking, abuse prevention).
- To communicate with customers about their account, security, and product changes.
- To meet legal and contractual obligations.
We do not sell personal data. We do not use lead data to train AI models.

We update this list when sub-processors change. Material additions are communicated to customers before they take effect.
8. International transfers
Akil is hosted in the United States. If you access the service from another region, your data will be transferred to the US. For transfers from the European Economic Area, the United Kingdom, or Switzerland, we rely on Standard Contractual Clauses and equivalent safeguards offered by our sub-processors.
9. Retention
- Customer accounts: kept while the account is active. Deleted within 30 days of account closure, except where retention is required by law.
- Leads & bookings: kept according to the customer's configuration. Customers can request deletion of specific records via the dashboard or by emailing us.
- Calendar OAuth tokens: kept until the rep disconnects the calendar or the account closes. Revocable at any time by the rep at myaccount.google.com/permissions.
- Enrichment cache: default 30 days, configurable per customer.
- Application logs: 90 days.
10. Your rights
Depending on where you live, you may have the right to access, correct, export, restrict, or delete your personal data, and to object to certain processing. If you are a lead whose data is held by Akil on behalf of one of our customers, please direct your request to that customer; we will support them in responding within the legally required timeframe. For requests about data Akil holds as a controller (e.g. visitors to useakil.com or our own account holders), email hello@useakil.com.
11. Cookies
We use a small number of strictly necessary cookies for sign-in sessions and CSRF protection, and analytics cookies set by PostHog. You can block analytics cookies in your browser without losing core functionality.
12. Security

13. Children
Akil is a B2B product and is not intended for children under 16. We do not knowingly collect data from children.
14. Changes to this policy
We will update this policy when we change how we handle data. Material changes will be communicated to customers via email or in-product notice before they take effect. The "Last updated" date at the top of the page always reflects the current version.
